Roles and Responsibilities: 

  • Responsible for dynamically arranging and coordinating a constantly changing travel and logistics schedule for the CEO and other members of the team 
  • Respond to the CEO’s internal and external emails in a timely and professional manner and coordinate subsequent required action 
  • Management of multiple intersecting people and scheduling dependencies across global time zones 
  • Ability to understand and anticipate the implications of changes in schedules and priorities, both internally and externally 
  • Coordinate logistics and requirements speaking engagements, conferences and media opportunities on behalf of the CEO, executive team and other nominated team members 
  • Supervise and support administrative staff to drive global operational efficiencies across a multinational enterprise 
  • Schedule meetings and assist with supporting documents and administration 
  • Assist the HR and recruitment team with onboarding and administering employees 
  • Assist in supporting efficient internal and external communication across multiple time zones.
  • Provide general support with the offices and tools as needed.


  • 6-8 years experience as a Personal and/or Executive assistant 
  • Exceptional organisational skills and a methodical approach to tasks 
  • Excellent communication skills 
  • Calm and efficient in a dynamic, fast-paced environment and an ability to adapt to moving targets
  • Confident under pressure; a positive can-do disposition 
  • Team player with strong people skills 
  • Proficiency with Microsoft Office and a preference for GSuite experience 
  • Experience with Smartsheets is an advantage
